Visa Officer/Social Development Group Administrative Assistant

SMEC is looking for an experienced Visa Officer/Social Development Group Administrative Assistant for its ACT office. This is a regular full-time position reports to the Director – Corporate Affairs and General Manager – SDG and to start immediately.

The role will cover obtaining visas for all SMEC staff, their families and consultants and providing administrative and project assistance for Social Development Group when required.

KEY RESPONSIBILITIES

a. Visas:
• Discuss visa requirements with the traveller by telephone or email. Obtain necessary documentation and process applications
• Liaise with various Embassies and High Commissions in Canberra, Sydney and Melbourne.
• Obtain passports in a professional and timely manner.
• Answer any visa queries.
• Keep accurate financial and written records of the visas obtained.
• Maintain a Petty Cash float and arrange cash reimbursements.

b. SDG Administration Duties:
• Maintain Business Development Tracking Lists for EOI and Proposals
o Obtain data on prospects from the Internet and other sources.
o Follow up progress and status of EOI/Proposal submissions with Regional Managers.
o Review Regional Tracking lists.
• Arrange meetings for the SD group
o Agenda papers etc.
• Maintain the SDG Consultants Database.
• Maintain the Associate and Partners Database including all brochures and capability statements.
• Maintain the SDG web site.
• General administration duties including assisting in the preparation of EOIs and Proposals.

KNOWLEDGE, SKILL, ATTRIBUTES AND EXPERIENCE REQUIRED
• A minimum of a year 12 proficiency certification.
• A minimum of no less than 5 years administration experience in a working environment.
• Excellent word processing and computer skills (Microsoft Office suite of programs).
• Excellent personal organisation skills (including prioritising tasks).
• Ability to work independently and as part of a team.
• Self motivated and demonstrated initiative.
• Reliable, confidential and trustworthy.
• A current ACT driver’s licence.
